Turning a spreadsheet quoting process into a shared internal tool
An internal quoting application used by two industrial equipment distributors to build, price and issue customer quotes from a single source of product data.
The challenge
Quoting industrial equipment means combining a product, its options, current pricing and a customer's commercial terms. When that lives in spreadsheets, every quote is rebuilt by hand, two salespeople can send different prices for the same configuration, and nobody can answer what was quoted last quarter.
The solution
We built an internal application where product data and pricing rules live in one place, and a quote is assembled from them rather than retyped. The same tool serves two related distributors, each with its own catalogue and its own commercial terms.
Our approach
We modelled the pricing rules before designing any screen. Quoting tools fail when the interface is built first and the exceptions — the discount that only applies to one customer, the option that changes the lead time — are bolted on afterwards.

- Product data and pricing live in one place instead of in each salesperson's spreadsheet.
- The same configuration produces the same price regardless of who quotes it.
- Two distributors share one tool while keeping separate catalogues and commercial terms.
